Approval of Bid on HVAC Maintenance, Repair and Replacement Services, MCSD No. 09-0059-MR - pg. 50
This bid is for the repair or replacement of HVAC (heating, ventilation, and air conditioning) systems, air handler and chiller systems on an hourly basis with a material percentage mark up. This bid will be utilized for service and repairs which cannot be accomplished by our Maintenance Staff. Due to the number of buildings within the District, it is recommended award be made to multiple vendors to ensure the availability with little delay due to the urgency of air conditioning and chiller issues. For equipment over 100 tons, the committee recommends awarding to all vendor(s) that are verified factory certified representatives and for equipment under 100 tons, the committee recommend awarding to the six vendor(s) with the lowest repair rate for item one.
Invitations for bid were submitted to one hundred seventy- seven (177) suppliers. The School District received thirteen (13) responsive bids, two (2) non-responsive and four (4) no bids. The remaining one hundred fifty eight (158) suppliers did not respond to our invitation for bid. Bids were opened on January 15, 2009.
The bid is recommended for award to vendors on the attached list.
The Superintendent recommends approval of the bid on HVAC maintenance, repair and replacement services, for the period of February 10, 2009 through February 9, 2010, in an amount not to exceed $750,000.00.

The estimated expenditure for these purchases/services not to exceed $750,000.00. The requested expenditures will be charged to various and Capital Outlay Accounts.
